Your Mission:

As the right-hand person to our CEO, you will play a critical role in managing their day-to-day activities and ensuring seamless operations. Your primary objective will be to optimize the CEO’s time and increase their efficiency, enabling them to focus on strategic initiatives and driving business growth.

Requirements:

  • Proven Experience: 4-5 years of experience in a similar role in fast paced environment, providing high-level administrative support to executives or senior management. Demonstrated ability to handle confidential information with discretion and professionalism.
  • Exceptional Organizational and Analytical Skills: Strong organizational and time management skills, with the ability to effectively prioritize tasks, manage competing priorities, and meet deadlines in a fast-paced environment.
  • Excellent Communication: Exceptional written and verbal communication skills, with the ability to communicate clearly and effectively with internal and external stakeholders. Proficiency in written and spoken English is required.
  • Tech-Savvy: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with calendar management tools, project management software, and collaboration platforms is highly desirable.
  • Detail-Oriented: Meticulous attention to detail and accuracy in all work tasks, from scheduling meetings to preparing reports and presentations. Ability to anticipate needs and proactively address issues before they arise.
  • Adaptability: Flexibility, Quickness and Adaptability to navigate changing priorities and respond effectively to unexpected challenges or urgent requests. Ability to remain calm under pressure and maintain professionalism in high-stress situations.
  • Problem-Solving Skills: Strong analytical and problem-solving abilities, with the capacity to quickly assess situations, identify solutions, and implement effective strategies to resolve issues or obstacles.

Key Responsibilities:

  • Schedule Management: Proactively manage the CEO’s schedule, fixing meetings (but also rejecting non-priority ones), appointments, and travel arrangements with precision and efficiency. Anticipate scheduling conflicts and prioritize tasks to maximize the CEO’s productivity.
  • Communication Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders, screening calls, responding to emails, and managing correspondence professionally and timely.
  • Information Management: Organize and maintain confidential information and documents, ensuring easy access and retrieval when needed. Prepare briefing materials, reports, and presentations for meetings and public speaking.
  • Task Coordination: Coordinate and prioritize tasks and projects on behalf of the CEO, delegating as necessary and following up to ensure timely completion. Act as a liaison between the CEO and other team members, facilitating communication and collaboration.
  • Strategic Support: Provide strategic support to the CEO by conducting research, analyzing data, and preparing reports on key business initiatives and opportunities. Participate in strategic meetings and discussions, offering insights and recommendations to drive decision-making.
